We know how important it is for you to understand how we use your data. This Privacy Notice sets out how and why we collect, use, store and share your personal data when you apply for the IKEA Artist in Residence: Mentorship with Annie Leibovitz (the “Mentorship Programme”). We are Ingka Services AB (“Ingka” or “we”, “us”), and our registered address is Älmhultsgatan 2, 215 86 Malmö, Sweden. Ingka is the data controller of any personal data about you it collects and processes from this website. We are part of Ingka Group which means we are ultimately owned or controlled by Ingka Holding B.V.
What personal data is collected and why?
If you apply for the Mentorship Programme you will be asked to submit your name, gender, city/town, region of residence,, email address and phone number, which we will use to evaluate your application and contact you in relation thereto. We will also ask for your age to verify that you are between 18 and 25 years old, which is a requirement to participate in the Mentorship Programme. The application itself (including your social media pages and/or webpage if you provide us with links thereto) will be used to assess you as a candidate and make the final selection for the Mentorship Programme.
Legal grounds for processing
The legal ground for the processing of your personal data is the contract regarding the Mentorship Programme (the Terms and Conditions) between you and Ingka.
Who will review to your data?
Your application will be reviewed by the employees in Ingka and other Ingka Group companies that are engaged in the selection process for the Mentorship Process. In addition, the application and any other content produced by or with you during the application process will be reviewed by Annie Liebovitz and Marcus Engman.
In addition, Ingka may from time to time engage other Ingka Group companies as well as third parties to help us operate our digital tools and services (such as the digital tool used to collect the applications). These companies act as our sub-processors, and we have contracts in place to govern our relationship with these companies. In the event a sub-contractor is located outside of the European Union, the transfer of your personal data is secured by additional safeguards, such as e.g. an agreement incorporating standard data protection clauses adopted by the European Commission.
Data access, correction or removal
You have the right to contact Ingka to have information about the personal data that we process about you and to get access to such personal data. You also have a right to request erasure or rectification of your personal data if it is incorrect and to request to pause processing under certain circumstances. Any request regarding your individual rights should be sent to artist.inresidence.se@ingka.ikea.com.
How long will we keep your data?
We will keep your personal data until the mentees have been finally selected and for a period of five (5) months thereafter. If you are selected as a mentee, your personal data will be stored until the Mentorship Programme has been terminated and for a period of five (5) years thereafter.
How will we secure your data?
We take the security of your personal data very seriously. We have implemented various strategies, controls, policies and measures to keep your data secure and keep these measures under close review. We protect your data by using encryption techniques and we use other safeguards such as firewalls and password protection. This means that your data is protected and only accessible by Ingka Group employees (or subcontractors) who need it to carry out their job responsibilities.
Modifications
We may update this Privacy Notice from time to time. If we make significant changes we will let you know, but please regularly check this Privacy Notice to ensure you are aware of the most updated version.
Complaints
If you are unhappy with the way Ingka processes your personal data, please reach out and we will try to address your concern. You can also lodge a complaint with your local data protection authority.
